This policy explains how we collect and use personal information through pveurope.com, and when you book, sponsor, speak at or attend Pharmacovigilance Europe.

Who we are

Pharmacovigilance Europe is organised by Graviton International, a trading name of Graviton Events Limited, registered in England and Wales (company number 09357668). Graviton Events Limited is the data controller for the information described in this policy.

What we collect

  • Enquiries and brochure requests: your name, work email, company, job title and the topic of your enquiry.
  • Delegate bookings: your name, contact details, organisation, job title, any dietary or access needs you tell us, and booking and invoice details. Card payments are handled by our ticketing provider, Tickettailor. We do not see or store your card details.
  • Speakers: your name, biography, photograph, job title and presentation details.
  • Sponsors and exhibitors: contact details of your team members, and contract and invoice information.
  • At the event: photographs and video may be taken in public areas and sessions.
  • Website use: basic technical information such as your browser type and the pages you visit.

Sharing your information

We never sell your personal data. We share it only with:

  • service providers who help us run the event, such as our ticketing provider (Tickettailor), Google (which stores enquiry and brochure-request forms in Google Sheets), HotelMap (our accommodation booking partner, which handles hotel bookings made through our Accommodation page under its own privacy policy, and whose map uses Mapbox), our website host, email provider and the venue, Hilton London Olympia, for logistics only;
  • sponsors, only if you choose to share your details with them, for example by having your badge scanned or booking a meeting;
  • our accountants and professional advisers, and authorities where the law requires it.

We do not share attendee lists with sponsors or other third parties without your consent.

International transfers

Some of our providers may process data outside the UK. Where they do, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or a UK adequacy decision.

How long we keep it

  • Booking and invoice records: 6 years, for tax and accounting.
  • Enquiries that do not lead to a booking: 2 years.
  • Marketing contacts: until you unsubscribe, or after 3 years without engagement.
  • Event photographs: up to 5 years in our archive.

Your rights

You have the right to access, correct or delete your data, to restrict or object to how we use it, to data portability, and to withdraw consent at any time. To use any of these rights, email pharmacovigilance@gravitonevents.org. We will respond within one month.

If you are unhappy with how we have handled your data, please contact us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Photography at the event

If you would rather not be photographed, tell the registration desk and we will give you a different-coloured lanyard. If you ask us to remove a published image of you, we will take it down.

Cookies

This website uses only the cookies needed for it to work. We do not currently use analytics or advertising cookies. The hotel map on our Accommodation page is provided by HotelMap using Mapbox, which may store an anonymous identifier in your browser. The Google map on that page only loads if you choose to show it. If that changes, we will ask for your consent first and update this policy.

Changes to this policy

We may update this policy from time to time. The date at the top always shows the latest version.
